Privacy Policy
This privacy policy explains how I collect, use, store, and protect your personal information when you contact me or work with me in therapy. It is written in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Data Controller: Lesley Nance, practising as Lesley Nance Therapy (lesleynancetherapy.com)
ICO Registration Number: ZB667284
If you have any questions about how I handle your data, please get in touch directly.
What information I collect.
When you contact me through the website, by phone, or by email, you may share:
• Your name and contact details (phone number and email address)
• Any information you choose to include in your message
If we begin working together, I may also hold:
• Emergency contact information
• GP or other healthcare professional details
• Brief session notes made after each session
Why I collect it.
I only collect and use your information where I have a lawful basis to do so:
• For initial enquiries and arranging sessions - to take steps prior to entering into a contract with you
• For providing therapy - for the performance of that contract and the provision of health treatment
• After therapy ends - to retain limited information where necessary to respond to any legal or professional matters
I will never use your information for marketing or share it with third parties for commercial purposes.
How long I keep it.
If we do not begin therapy, your contact details will be deleted within one week of our last communication.
If we begin therapy, your contact details will be kept for the duration of our work together and securely deleted one month after therapy ends.
Session notes are kept for seven years after therapy ends, in line with professional standards and to allow for any potential complaints or legal claims. After that, they are securely destroyed.
If you are under 18 when we work together, notes may be kept until seven years after your 18th birthday.
How your information is stored.
Your personal information is stored securely and confidentially. Contact details and session notes are kept separately. Session notes contain your first name only - or an initial or alias if you prefer - and no other identifying information.
This website is hosted by Squarespace. I have configured it to minimise data collection where possible.
Confidentiality and when I may share information.
Everything you share in sessions is confidential. The only routine exception is my clinical supervisor, who may hear about your work in general terms for professional and ethical practice. Your full name will not be used unless you consent - initials or an alias can be used instead. My supervisor is bound by the same confidentiality and data protection obligations as I am.
I will always aim to speak with you before sharing any information, wherever possible.
I may need to share information without your consent only in the following circumstances:
• If I have serious concerns about your safety or the safety of someone else, including safeguarding concerns for children or vulnerable adults
• If I am legally required to disclose information, for example under the Terrorism Act 2000
• If I am ordered to do so by a court of law
Your rights.
Under UK GDPR you have the right to:
• Request a copy of the personal information I hold about you, free of charge in most cases
• Ask me to correct any inaccurate or incomplete information
• Ask me to delete your information where it is no longer necessary, or where you wish to withdraw consent - unless I have a legal or professional obligation to retain it
• Object to the processing of your data in certain circumstances
• Receive your personal information in a portable format and transfer it to another party
To exercise any of these rights, please contact me directly. I will respond within one month.
Making a complaint.
If you have concerns about how I handle your data, please contact me first so I can try to resolve it. You also have the right to make a complaint to the Information Commissioner's Office at ico.org.uk or by calling 0303 123 1113.
Changes to this policy.
I may update this policy from time to time. Any changes will be published on this page.
